Shifts flow in from your calendar. Receipts flow in from email. You review both when you have a minute. At the end of a contract, the app assembles the timesheet.

  1. Shifts arrive as suggestions— from the calendars you picked; you approve what's real, and confirming an as-planned shift is two taps.
  2. Receipts arrive — forward the email; vendor, amount, and dates are read out for you to confirm.
  3. Timesheet goes out — PDF with receipts attached, CSV, or tap-to-copy values for the portal.

Getting receipts in

Forward any receipt, invoice, folio, or fare-confirmation email to the forwarding address. Within a minute it appears in your Inbox with the vendor, amount, and dates read out for you — you confirm or fix, never type from scratch. You also get a short email back saying what was read (or why it needs manual entry).

📏 Mileage is manual-only.Add it by hand: Expenses → Add expense by hand → category “mileage” (the amount is miles, not dollars — email never covers this).

Filing rules & edge cases
  • Mail is filed to your account when the sender is on your list (Settings → My receipt senders). Your own address is always on it; add others, but an address can only belong to one of you.
  • Mail from a sender on nobody's list is quarantined— kept and shown to both of you, but nothing is processed until someone claims it with “Try extraction again”.
  • Attachments are read too — PDFs and photos usually carry the numbers, so “your invoice is attached” emails work fine.
  • The app records the original sender — whoever emailed the receipt to you before you forwarded it. It shows on each expense and you can filter by it. (Routing to your account is decided by who forwarded the mail — your sender list — not by the vendor.)
  • A hotel folio with room + parking becomes twoexpense items. That's intentional — timesheets want them split.
  • If reading fails, nothing is lost: the email lands under “receipts needing attention”, you can open it right in the app (Mail log → Open email), see every AI attempt and its exact response, retry, or enter the expense manually.
  • Reading costs about half a cent per receipt and each account has a monthly AI budget(Settings shows the meter). If it runs out, emails still arrive and are kept — they just wait for manual entry or next month's budget.

Auto-forward from Gmail

Set it up once, in Gmail's settings

  1. Gmail → ⚙️ → See all settings → Forwarding and POP/IMAP → Add a forwarding address → the forwarding address.
  2. Google emails a confirmation code to that address — it shows up here, in your Mail log(Settings → Mail log), as a quarantined item. Tap “Open email”, read the code right in the app, and copy it back into Gmail.
  3. Don't forward everything: create a filter(e.g. from marriott.com OR delta.com OR uber.com) with the action “Forward to the forwarding address”. Only matching mail is forwarded — your inbox is untouched.

Getting shifts in

Events from your selected calendars appear as suggestions — nothing becomes a shift until you approve it. Confirming an approved shift asks one question: what actually happened? Times default to the schedule, so an as-planned shift is two taps.

Read-only, always.The app checks the feed on a schedule (Settings) and on “Sync now” — it cannot write to, change, or delete anything on any calendar.

What happens when things change
  • If a confirmed shift's event later moves, your hours are neveroverwritten — the shift is flagged “moved” for you to re-check.
  • Deleted events cancel the shift (nothing is ever deleted here); if the event returns, the shift comes back for review.
  • All-day events can't become shifts (no times) — they show in the Settings preview with a note.

Set up your shift calendars

One-time, about a minute

  1. In Settings, tap Connect Google Calendar and approve access when Google asks — this only grants read access to your calendars, and the app can never write to them.
  2. Check every calendar that can contain shifts — a mixed personal calendar is fine.
  3. Add pre-check keywords(e.g. “ER”) so real shifts arrive pre-checked; everything else still shows up for your review, unchecked.
  4. Approve suggestions on the Shifts page — nothing is imported without your OK.

What the badges mean

possible duplicate means the same vendor + amount + day already exists on another email (hotels love sending the folio twice). Open the item and pick: separate charge, or dismiss.

Timesheets

  • Generate per hospital. The period defaults to that hospital's date window.
  • Every timesheet is an immutable snapshot — regenerating later (after fixing data) makes a new one; what you already submitted stays exactly as submitted.
  • The PDF has the hours table and expense sections, then every receipt attached as evidence.
  • The portal copy view lays out every value as a tap-to-copy button, in entry order, for pasting into the company portal field by field.

Accounts & privacy

  • Only the two invited Google accounts can sign in — there is no sign-up.
  • Your accounts are separate: each of you has your own calendar, senders, shifts, expenses, hospitals, and timesheets. Nobody sees the other's data; only unmatched quarantined mail is shared.
  • Every email that ever arrived is kept, raw, forever — the Mail logis the audit trail, down to each AI attempt's verbatim response.
  • The app emails you only about your own receipts, and never touches your Gmail or Google Calendar accounts.
